1. Introduction & Scope
BidIQ (“we,” “us,” “our”) respects your privacy. This Privacy Policy explains what personal information we collect through our website, applications, and services (the “Service”), how we use it, and your rights regarding that information.
This Policy does not apply to vehicle data — such as VINs, vehicle specifications, valuations, and market data — that does not identify a person.
2. Information We Collect
2.1 Information You Provide
- Account registration information (name, email, dealership name)
- Newsletter subscription email address (processed by beehiiv, our newsletter platform)
- Vehicle data you upload (VINs, inventory files, sold data)
- Scoring configuration preferences (zip code, cost settings, recon tables)
- Buy sheet data and purchasing decisions you record
- Payment and billing information, which is collected and processed by our payment processor — we do not store your card or bank details
2.2 Information Generated by the Service
- Vehicle scoring results and analytics
- Historical scoring runs and performance metrics
- Inventory snapshots and aging data
2.3 Information Collected Automatically
- Browser type and version
- IP address and approximate location derived from it
- Usage data (features used, frequency, search inputs such as VIN and vehicle queries, log data)
- Error logs
3. Sources of Personal Information
We collect personal information: (a) directly from you, when you create an account, subscribe, upload data, or contact us; (b) automatically, through your device and browser as you use the Service (cookies, log files, and similar technologies); and (c) from service providers that help us operate the Service (for example, our authentication and payment providers).
4. How We Use Your Information
We use your information to:
- Provide, maintain, secure, and improve the BidIQ Service
- Create and manage your account and authenticate you
- Process subscriptions, payments, and billing
- Generate vehicle scores, market analytics, and performance insights
- Improve our scoring algorithms and data accuracy
- Provide customer support
- Monitor, detect, and prevent fraud, abuse, and security incidents
- Send service-related communications and, if you subscribe, our newsletter and product updates
- Comply with legal obligations and enforce our Terms
5. Cookies & Similar Technologies
We and our service providers use cookies and similar technologies to operate the Service, keep you signed in, remember preferences, and measure performance. We do not use these technologies to share your data for cross-context behavioral advertising. You can manage cookies through your browser settings; disabling essential cookies may affect sign-in and core functionality.
6. Aggregated and Anonymized Data
We may aggregate and anonymize your data (removing all personally identifiable information and dealership-specific identifiers) for:
- Market trend analysis
- Benchmarking features (e.g., comparing performance across anonymized dealer cohorts)
- Product improvement and research
- Industry reporting
Aggregated data cannot be used to identify you or your dealership.
7. Data We Do NOT Collect
- Personal financial account details (cards and bank information are collected and processed by our payment provider, not stored by BidIQ)
- Social Security numbers or government IDs
- Precise GPS geolocation
- Customer (car buyer) personal information
- Employee personal information beyond the account holder
8. Sharing of Personal Information — We Do Not Sell
We do not sell your personal information, and we do not “share” it for cross-context behavioral advertising (as those terms are defined by the California Consumer Privacy Act). In the past 12 months we have not sold or shared personal information, including the personal information of consumers under 16. If that ever changes, we will first update this Policy, post the required “Your Privacy Choices” opt-out link, and honor recognized opt-out preference signals before any sale or sharing begins.
We disclose personal information only to:
- Service providers who help us operate BidIQ — authentication/identity, payment processing, hosting and infrastructure, and newsletter delivery — under contracts limiting their use of your information to performing services for us
- Third-party data sources we query on your behalf (NHTSA, market data providers) — we send only vehicle identifiers (VINs, year/make/model), not your personal or business information
- Law enforcement if required by valid legal process
9. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, unless a longer period is required by law. In general:
- Active account data: retained while your subscription is active
- Scoring history and analytics: retained for 24 months after subscription ends, then deleted
- Billing and transaction records: retained as required for tax and accounting obligations
- Aggregated/anonymized data: retained indefinitely (cannot identify you)
- You may request deletion of your data at any time by contacting freddy@bidiqapp.com
10. Data Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information, including:
- Encryption in transit (HTTPS/TLS)
- API keys stored server-side only (never exposed to browsers)
- Database access restricted to application processes
No method of transmission or storage is 100% secure. We cannot guarantee absolute security.
11. Your Privacy Rights
Subject to certain exceptions, you have the right to:
- Know / Access the personal information we have collected about you
- Correct inaccurate personal information
- Delete personal information we collected from you
- Export your data in a portable format (the Service includes data export functionality)
- Opt out of aggregated data usage by contacting us
- Non-discrimination — we will not discriminate against you for exercising your rights
California residents may exercise their rights under the CCPA by emailing freddy@bidiqapp.com. We will verify your request by matching the information you provide against our records, and respond within the timeframes required by law (generally 45 days). You may use an authorized agent; we may require proof of authorization.
12. Automated Decision-Making
BidIQ’s scoring model evaluates vehicles, not people. It does not make automated decisions that produce legal or similarly significant effects about you.
13. Children's Privacy
BidIQ is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18, and we do not knowingly sell or share the personal information of consumers under 16. If you believe a minor has provided us personal information, contact us and we will delete it.
14. Changes to This Policy
We review this Policy at least every 12 months and update it whenever our practices change. Updates are posted with a new “Last updated” date; material changes will be communicated via the Service or email.
